Oral Innovation and Oral Research Presentation Moderators

Information for Oral Presentation Moderators
All oral abstract presentations will include theater style seating and hold up to 120 people. Sitting on the floor or “standing room only” is not permitted by venue rule.
Each presentation is limited to 15 – 20 minutes.
All meeting rooms will have LCD projectors, screens, laptops, podiums, and microphones.
Internet for the entire conference will be provided by wifi only; there will be a special username and password to access wifi throughout the conference. Laptops will be provided in each meeting room. Laptops will be connected to the internet via wifi; playing videos or other media might not load quickly.
- Conference laptops are PC-based
- Apple platform may not be supported
- All PC’s will have a USB-C port
All presenters were made aware that if they needed an adapter or dongle to connect their external storage to the laptops, to bring that with them.
Please note: It is very important that moderators do not change the presentation order from what is published in the program.
Important Rules for Session Moderators:
- Arrive at the session 15 minutes before the start of the session.
- Introduce yourself to speakers, review the structure of the session (order of presentations – no changes from what is published in the program, time for each presentation including Q&A, methods for conveying time limits.)
- Speaker introductions: Verify with the presenters their titles/affiliations for introductions.
- Technology check: All presenters are asked to arrive 10 minutes prior to their session to upload their presentation materials on the laptop provided. They will each have a flash drive with their materials. There will be a support technician on hand in case there are issues.
- Begin the session on time and ensure that presenters maintain the time schedule for their presentation.
- Presentation timing: If a session has four presentations, each presenter has 15 minutes to present – 13 minutes of presentation and 2 minutes for Q&A. If a session has 3 presentations, then each presenter has 20 minutes to present – 16 minutes of presentation and 4 minutes for Q&A.
- Moderators will be given a session presentation timetable in each room they are moderating; it will also be emailed to them prior to the conference.
- It would be helpful for you to bring a couple of signs of timing (2 mins left, Time Up, etc.) to prompt the presenters.
- Facilitate the discussion or Q&A by asking, “Are there any questions for…” and by ending the Q&A period on time.
- Invite those with unanswered questions to speak with the presenters after the session.

No outside food or beverages are allowed.
